Start with the venue's actual deadline
Confirm when personal items must leave and where helpers may load cars. Ask whether any pickup can happen later; do not assume overnight storage. Write the answer beside the name of the person who confirmed it.
Assign boxes before assigning trips
Use short IDs such as B01 and B02. Keep different owners or return destinations in separate boxes. Put a destination code outside the box and keep private addresses in the lead helper's contact list.
Ask someone to accept the job
Name a willing carrier, a vehicle or trip and a backup. Tell the carrier what they are taking and where it is going before the reception. A label helps identify the load, but it does not replace an agreed handoff.
Count what actually leaves
In this fictional example, box B01 should hold three borrowed frames. Only two are packed. Record expected = 3 and packed = 2. Give the missing-item follow-up a responsible person and a next action. Do not mark the box complete because someone thinks the third frame is nearby.

Preserve what happened next
If the third frame turns up, record who found it, when it was passed on and who accepted it. Keep the original departure count. A separate recovery note explains why the final return includes three frames without hiding the earlier gap.
Leaving the venue and returning the item are separate checkpoints
Write the return deadline, the person handling it and the recipient's confirmation. A partial return remains open with the missing quantity and next action. Close the record after confirmed receipt or an agreed resolution.
Keep the job small and realistic
This process covers small decor the helpers are allowed to move. Ask vendors about their own equipment and instructions. Give valuables and other sensitive items a separate agreed process. A form cannot supply transport, make someone stay late or guarantee safe handling.
