SCOPE & FOLLOW - F05 INVOICE FOLLOW-UP CLOCK
VERSION 1.1 | Customer package | 10/11/2026

PURPOSE
A manual review list for solo service providers and small teams that already
issue invoices. Keep one row per invoice and update amounts received, contacts,
promises, disputes and holds. The workbook suggests an action and next review
date from the information you enter. It sends nothing.

START
1. Open Invoice_Follow_Up_Clock_v1_1.xlsx and recalculate the workbook.
2. On Follow-up, set B3 to the date of this review. The as-of date is required;
it does not advance automatically when you open the file.
3. Replace the fictional examples with your own records in rows 9-208
(200 invoice rows). Edit the yellow input cells, not formula cells.
4. Correct FIX REVIEW DATE and FIX INPUT warnings before relying on totals.
5. Read Action and Next review. Check the actual invoice, agreement, payment
records and client context before contacting anyone.
6. After an event, update Received, Last contact, Promised pay, Status and
Notes, then recalculate. Work from a saved copy and keep a backup.

INPUT RULES
Dates
- Use spreadsheet-recognized numeric dates, as whole days without times,
from 01/01/1900 through 12/31/9999. Text that only looks like a date is invalid.
Enter unambiguous dates and check the displayed result in your application.
- As-of date (B3): mandatory.
- Invoice date: mandatory and no later than the as-of date.
- Due date: mandatory and on or after the invoice date.
- Last contact: optional; if entered, on or after the invoice date and no
  later than the as-of date.
- Promised pay: optional unless Status is Promised. Any entered promise date
must be on or after the invoice date, including when another status is used.
A missing date with Promised status prompts ADD PROMISE DATE if a valid
remaining balance exists. An invalid entered date prompts FIX INPUT.

Amounts and identity
- Invoice ID, Invoice date, Due date, Invoice amount and Status are required.
Invoice IDs may be text or numbers; whitespace-only IDs are invalid.
Client label is optional. Use a short label instead of sensitive client data.
- Any populated input row without an Invoice ID prompts FIX INPUT, including
  a row containing only a label or note. Clear all input cells to remove a row;
  preserve the formula cells.
- Money input cells use plain numeric display; USD units are in the headers.
Keep their General number format so logical values remain detectable across
applications. Calculated balances retain currency formatting.
- Invoice amount must be a number from 0 through 999999999.99 with no more
than two decimal places. A blank amount is invalid. An explicit zero is valid.
- Received may be blank, meaning zero, or a number within the same bounds and
decimal precision. Received cannot exceed Invoice amount.
- Status must be Open, Promised, Disputed, Paid or Hold. Paid with a remaining
balance is inconsistent and prompts FIX INPUT.
- Balances are rounded to cents. Amount validation allows only tiny
floating-point residue from spreadsheet calculations, not genuine fractions
  of a cent.
- Keep one currency in a workbook. The sheet does not convert currencies.

ACTION ORDER AND NEXT REVIEW
All input checks run first, before completion, holds, disputes or promises.
A bad date or amount is not made valid by choosing Paid, Hold or Disputed.
Here, "today" means the as-of date in B3, not the computer's current date.

1. FIX REVIEW DATE
The global as-of date is missing or invalid. Populated rows and headline
outputs show this warning. Enter a valid as-of date before continuing.
2. FIX INPUT
A row has missing, invalid or contradictory inputs. Balance, Days past due
and Next review stay blank. The row is counted as needing review/fixing.
3. COMPLETE
Valid Invoice amount minus Received is zero, including an explicit zero
invoice and a valid fully received Hold or Disputed row. No next review.
This is arithmetic on entered amounts, not evidence of bank settlement.
4. ON HOLD
A valid row has a remaining balance and Status is Hold. No next review date
is produced until you change the status. A hold does not erase the balance.
5. RESOLVE DISPUTE
A valid row has a remaining balance and Status is Disputed. Review today
to resolve the issue before routine payment follow-up.
6. Promise states for a valid remaining balance with Status Promised
   - ADD PROMISE DATE: promise date missing; review today to complete it.
   - WAIT FOR PROMISE: promise date is in the future; review on that date.
   - REVIEW PROMISE TODAY: promise date equals today; review today. The
promise is not marked missed on its due date.
   - PROMISE MISSED: promise date is before today; review today.
7. Routine states for valid Open rows with a remaining balance
   - WAIT UNTIL DUE: due date is today or later. Next review is the day AFTER
the due date. An invoice due today is not treated as overdue.
   - SEND FIRST FOLLOW-UP: overdue and Last contact is blank; review today.
   - FOLLOW UP TODAY: overdue and at least seven calendar days have elapsed
     since Last contact; review today.
   - WAIT UNTIL NEXT REVIEW: overdue and fewer than seven calendar days have
elapsed; next review is Last contact plus seven calendar days.

SUPPORTED CALENDAR CEILING
Calculated Next review dates are capped at 12/31/9999. At that upper bound,
the result cannot represent a later day, even when a due-date or seven-day
contact rule would otherwise schedule one.

HEADLINE OUTPUTS
- Overdue balance adds valid positive balances with Days past due greater
than zero. Hold and Disputed balances may still be overdue.
- Disputed balance adds valid balances with Status Disputed.
- Missed promises counts rows whose Action is PROMISE MISSED.
- The review/fix count includes FIX INPUT rows plus valid rows whose next
review date is on or before the as-of date. It is a review workload count,
not a count of reminders that should be sent.
- Invalid rows are excluded from balance totals; they are not zero-balance
invoices. Correct them to make the totals useful. An invalid global as-of
date replaces headline outputs with FIX REVIEW DATE.

LIMITS AND PRIVACY
This workbook does not create or send invoices, reminders or payment links;
connect to a bank; verify settlement; calculate interest or late fees; decide
legal rights; or guarantee payment or correct accounting. It does not provide
accounting, tax, legal, debt-collection or credit advice. Review your signed
agreement and applicable law before fees or collection steps. A suggested
action is a prompt for your review, not authorization to contact a client.
Keep credentials, payment details and unnecessary personal information out
of this file, especially shared copies. Color coding is not access control.

COMPATIBILITY
Version 1.1 includes fictional examples.
Native Microsoft Excel and Google Sheets testing have not been performed.
Do not interpret the .xlsx extension as a compatibility certification. Check
formula recalculation, validation, date display, filtering and layout in your
intended spreadsheet application before relying on it for real records.
The one-page guide summarizes the workflow; these instructions give the
full input and action rules.
